How to request deletion of your personal information

For patrons

If you are a patron of a registered club that uses Venue Axis and you would like your personal information deleted, contact the club directly in the first instance. The club holds the primary relationship with you and is best placed to handle your request.

When contacting the club, provide:

  • Your full name and date of birth (so the club can locate your records)
  • Which records you would like deleted (or “all records”)
  • Contact details so the club can respond to you

What can and cannot be deleted

Some records are subject to mandatory retention periods under Australian law:

  • AML/CTF records (customer due diligence, suspicious matter reports, threshold transaction reports) must be retained for 7 years under the Anti-Money Laundering and Counter-Terrorism Financing Act 2006 (Cth)
  • Gambling incident register entries must be retained for 3 years under the Gaming Machines Act 2001 (NSW)
  • Staff activity logs are retained for 5 years for audit compliance

Where a record falls within a mandatory retention period, the club and Venue Axis cannot delete it until the retention period expires. The club will inform you if this applies to your request.

Records not subject to mandatory retention can be deleted on request. Self-exclusion operational data is deleted promptly after the exclusion expires or is revoked.

For club staff

If you are a current or former staff member of a club that uses Venue Axis, contact your club's Gaming Manager or administrator to request deletion of your staff account and associated data.

Staff activity logs may be retained for audit purposes even after your account is deactivated, subject to the retention periods described in our Privacy Policy.

If you cannot reach the club

If you cannot identify or contact the relevant club, you may contact Venue Axis directly:

Venue Axis will route your request to the correct club and confirm receipt. If Venue Axis holds information about you independently of a club relationship, Venue Axis will respond directly.

What happens after you request deletion

  1. The club (or Venue Axis, if contacted directly) will acknowledge your request within 5 business days
  2. The club will verify your identity to prevent unauthorised deletion
  3. Records not subject to mandatory retention will be deleted within 30 days
  4. You will receive written confirmation of what was deleted and what was retained (with the legal basis for retention)

If you are unsatisfied

If you believe a club or Venue Axis has not properly handled your deletion request, you have the right to make a complaint to the Office of the Australian Information Commissioner (OAIC):
